Plan a conference circuit that's worth the flights

Keep momentum between events, and leave time to see the cities you fly into.

Group events by region
Line up events on the same continent so you take fewer long-haul flights and spend more time in each destination.
Tip 2
Block time for meetings
Keep mornings for sessions and evenings for hosted-buyer meetings and dinners, so neither crowds out the other.
Tip 3
Write it down as you go
A shared note or voice memos after each meeting means your team can act on the ideas while they're fresh.

Conference travel checklist

  • Confirm appointment schedules, hosted-buyer invites and booth logistics at least 30 days out.
  • Get your materials ready — media kit, QR codes, demo videos — so every conversation gets a follow-up.
  • Add a day before and after the event for site visits or seeing the host city.
  • Debrief with your team while it's fresh: share what you learned, log leads and assign next steps.
